Set up in an afternoon
You don't need a project plan to launch on BeerZap. Here's the actual sequence, start to finish.
Sign up and create your organization
Name, email, password, a couple of minutes. We do a quick manual check on every new organizer before you can create events (real name, plausible event, not a duplicate signup) — typically the same business day. Tell us if your event is close and we'll move faster.
Create your event
Name, dates, venue, and a default capture radius (50 meters is a solid starting point for one tent or venue).
Add your stations
And this is the moment that makes the whole thing click: stand at each table, tap "Use my current location," and the app pins the exact spot from your phone's GPS. No typing coordinates, no clicking a map pin, no guesswork. Planning ahead of the event instead of walking the venue? You can type coordinates in manually too.
Print your QR codes
One click generates a signed, print-ready QR sheet, one code per station. Print it yourself at home or a print shop, or laminate it if you're outdoors.

Your vendors do their own setup
You don't have to be your vendors' data-entry clerk.
Send each vendor an invitation link (or copy it and text/DM it directly if email's slow to land). They click it, create their own free BeerZap account, and fill in their own brewer profile, beer list, and photos — directly from their own dashboard, whenever it's convenient for them.
Nothing they submit goes live automatically. Everything lands in your approval queue first, so you always have the final look before it's public. One click to approve, one click to send it back if something needs a fix.
Why vendors actually want to do this: it's not a favor to you — it's foot traffic and visibility for them. The discovery-adventure mechanic is built to send attendees hunting for every station, not just wandering past the tables near the entrance. Strong ratings put a vendor on the live leaderboard and the end-of-night podium — projected in front of the whole room. That's a real reason for a vendor to say yes to a link, not just paperwork.
Don't want to bother with vendor invitations at all? Skip this step — enter their info yourself, or have Yodacom's Concierge service do it for you. It's optional, never required.
New revenue, not new work
BeerZap doesn't just run your event — it gives you something new to sell.
Sponsor slots. Every event caps out at 3 slots, on purpose — that scarcity is what makes a slot worth buying. A sponsor's name shows up as "Presented by [Sponsor]" across the event: a welcome placement, one sponsored station, a leaderboard banner. Verified foot traffic you can point to. The discovery adventure is built to route attendees to every station, not just the ones near the entrance — so when it's time to raise a booth fee or price a sponsorship, you're not saying "trust us," you're showing a number.

BeerZap itself costs $399 /event at this scale (Standard tier) — roughly 6.7% of that modeled upside. These numbers are an illustration to show the shape of the math, not a promise for your specific festival — your own results depend on your event's size, market, and how you use the data.
Running vendor data entry yourself isn't required either — Concierge (Yodacom builds your vendor listings for you, starting at $149) is an optional add-on, priced by vendor count, available right from your event's Billing tab.

A vendor signed up at the last minute — can I add them after I've printed the QR codes?
Yes — adding a station in your dashboard goes live the moment you save it, and a database trigger creates that station's own QR signing secret automatically, so there's no separate "activate" step to remember or forget. Your already-printed sheets for other stations are untouched — each station's signing secret is independent, so adding a new one never invalidates what you've already handed out. Head back to the QR codes page: every station gets its own printable sheet there, so you only need to print the one new page, not reprint the whole batch. It scans exactly like every other station too — a phone's own camera app opens the check-in page directly, no separate scanner app for you or your vendor to install.
What does "first event free" actually mean?
Your first event on BeerZap is $0 — the full product, not a stripped-down trial — for up to 500 attendees. We ask for a card on file so we can tell a real first event apart from someone spinning up a second free one under a different name, but that card is never charged for the free event. It's one free event per organizer, ever; every event after that is a flat, one-time per-event fee sized to your headcount, never a subscription.
My venue is outdoors — what happens if GPS gets flaky in a tent?
It can, and we designed around it rather than pretending it won't happen: every station's capture radius can be tuned independently of the event-wide default, so a station tucked under a pavilion roof or deep in a beer tent can get a wider tolerance than one out in the open. Fifty meters is a solid starting default for most single-tent or single-venue layouts, and you can loosen or tighten any individual station from there once you've walked the actual space. One thing to plan around either way: every scan is verified by our server in real time, so you'll need working wifi or cell coverage at the venue — this isn't an offline app today.
Do attendees need to download an app or create an account?
No to both. BeerZap runs entirely in the browser — attendees scan a station's QR code and they're in, capturing and rating within seconds, nothing to install and nothing to update. There's no signup form standing between the scan and the game either: that first scan quietly opens an anonymous session behind the scenes, so an attendee never sees a login screen, never types a password, and never has to hand over an email address just to play.
Do vendors get access to attendee data — who scanned their station, ratings by name, that kind of thing?
No — a vendor account never gets attendee-level data. What a vendor sees is the same aggregate information anyone in the room can see: their brewery's live rank, average rating, and ratings count on the public leaderboard, plus the status of their own beer and brewer submissions in your approval queue. There's no capture list, no attendee names, and no individual scan history exposed to a vendor account at any point — that data only ever goes to you, the organizer, and to the attendee about their own activity.
What do I actually need to bring or set up on the day of the event?
Bring whatever you used to print your QR sheets — laminate them if you're outdoors, since they'll be sitting on a table all day — and make sure your venue has wifi or cell coverage, since every scan and rating is checked by our server as it happens. You don't need to provide any scanning hardware: attendees capture stations with their own phone's camera, so there's nothing for you to hand out or collect back. For the finale, have a laptop or TV on hand — the results and podium screen is built for a projector and needs no login to display, so anyone who can plug in an HDMI cable can run it.

When the floor closes, you end the event and declare winners for each prize you set up — a two-step, deliberately irreversible process, because winners should mean it when they're announced. Once you finalize, open the presentation page on a laptop or TV: a full-screen, auto-refreshing results screen built for a projector, no login required to view — final standings and the "Top rated beers" podium, up in front of the whole room.
